Privacy policy
IM4Grace LLC provides transfer coordination software to licensed funeral homes. This policy describes what information we handle, why, and what we do not do with it.
Our role
Funeral homes and transfer services use our platform to record and communicate the status of a decedent transfer. The information in the platform belongs to the funeral home that entered it. We hold and process it on their behalf, under our agreement with them, and we act on their instructions.
If you are a family member with a question about your own information, please contact your funeral home. They control it, and they can answer you faster than we can.
Information we handle
- Funeral home and transfer service staff: name, work email, phone number, role, and account activity.
- Drivers: name, mobile number, employer, and the time and location recorded when a driver marks a stage of a transfer complete.
- Families: the name and mobile number of the one family contact the funeral home designates, and whether that person gave permission to be texted.
- Transfers: decedent name, pickup and destination locations, times, and photographs or signatures captured to document custody.
We collect the minimum needed to do this job. We do not collect medical records, cause of death, financial information, or payment card details from families.
How we use it
We use this information to operate the platform for the funeral home: to route assignments, record status, send the messages described in our text message program, provide support, and diagnose problems.
We may produce aggregate, anonymized statistics about how the platform is used — for example, how often a status was recorded on time. These statistics do not identify any funeral home, decedent, family, or individual driver.
Text messages
We send a small number of transactional text messages on behalf of funeral homes, described in full in our text message program.
Mobile numbers are never sold, rented, or shared with third parties, and are never used for marketing. They are used only to send the status messages a funeral home has arranged for that specific case.
Messages are sent only in connection with a specific transfer, not on a recurring schedule. A family member typically receives two messages for one transfer. Drivers receive messages only when work is assigned to them.
Reply STOP to any message to stop receiving them, or HELP for assistance. Message and data rates may apply.
What we do not do
- We do not sell personal information. We never have.
- We do not share personal information with advertisers or data brokers.
- We do not use family contact information for marketing, ours or anyone else's.
- We do not show advertising on any page a family sees.
- We do not track a driver's location outside of an active assignment.
Location information
The platform records a driver's location at the moment the driver marks a stage of a transfer complete, to document where and when custody changed hands. It does not record continuous location, and it records nothing when a driver has no active assignment. A driver may decline location permission; the platform still records the event, without coordinates.
Families are not shown a live map or a vehicle's position.
Who else sees it
We use service providers to host the platform, store data, and deliver text messages. They are bound by contract to handle information only as needed to provide their service to us. We do not otherwise disclose information except where a funeral home directs us to, or where we are required to by law.
How long we keep it
We keep transfer records for as long as the funeral home's agreement with us is in effect, and we return or delete them at the funeral home's direction when it ends. Family status links expire shortly after a transfer is complete and stop working. Routine backups may retain information for a limited period after deletion.
Security
We use commercially reasonable safeguards to protect information in the platform, including encryption in transit, access controls, and unguessable links that expire. No system is perfectly secure. If information is compromised, we notify the affected funeral home promptly.
Health information
Where we handle protected health information on behalf of a covered entity under HIPAA, we do so as a business associate under a written business associate agreement, and we handle that information according to its terms.
Children
The platform is not directed to children and we do not knowingly collect information from anyone under 13.
Your choices
You can stop text messages at any time by replying STOP, or by telling your funeral home. If you would like to know what information we hold about you, or would like it corrected or deleted, contact your funeral home first; they can act immediately. You may also write to us at the address below and we will work with the funeral home to respond.
Colorado residents
Colorado residents have rights under the Colorado Privacy Act, including the right to access, correct, and delete personal data, and to opt out of its sale or use for targeted advertising. We do not sell personal data or use it for targeted advertising. To exercise any of these rights, contact us at the address below.
Changes
If we change this policy we will update the date at the top of this page.
